Digital Room is an online printing company operating at the intersection of digital and physical spaces, offering e-commerce technology that brings customers' digital marketing and branding designs to life in the exact sizes, materials, and finishes they specify.

The company’s experienced Mailroom Manager, David Brown, kindly provided insight into how Kanban Tool is used for daily production planning.

Please, tell us what your work is about.

We are an online printing company that offers direct mail services.

What kind of processes do you manage using Kanban Tool; could you describe your workflow?

We use it to schedule our daily orders that have to go out each day; the board's columns represent weekdays. We create cards that represent individual orders. Once the order is complete we change the card to a different color which represents a status.

Direct Mail Printing Board

Our card template includes information such as:

  • Title: containing the job ID, the printed product name, the print size and quantity, and a due date
  • Description
  • External link
  • Card type, representing the job's current status
  • Quantity to produce
  • Due date
  • And a set of custom fields:

    • Or Current Occupant
    • Post Office
    • Mail Piece Type
    • Domestic Pieces
    • Foreign Pieces
    • Tray Count

What adjustments did you make in order to improve your workflow?

We customized our board and card templates to give us all of the needed information. We added color-coding to them as well.

What features or integrations do you value most in Kanban Tool and why?

The ability to customize almost everything to fit what we need. Kanban Tool allows us to schedule and track our orders so much easier!
